What “Google review automation” should mean

Automation is not about writing reviews, buying them or nudging only happy customers. It means removing the forgetting. Most local businesses already have satisfied customers – the reviews never appear because nobody remembers to ask at the right time, or the request is sent once on a busy Friday and never again. Automation makes the same polite request go to every eligible customer after every completed job, with one reminder, and then stops.

Done properly, it gives you three things: a steady trickle of recent reviews rather than bursts, less admin for you and your team, and a process that treats every customer the same way – which is what Google’s policy and UK consumer law expect.

How it works in RepBeacon

  1. Connect your Google Business Profile so RepBeacon knows your direct review link.
  2. Add a customer when the work is done. Enter their name and mobile number or email after the job, appointment or collection.
  3. RepBeacon sends the request. A short SMS or email with a one-tap link to your Google review form, using wording you approve.
  4. One reminder, then stop. If they have not reviewed, they receive a single follow-up. No chasing beyond that.
  5. Track and reply. New reviews appear in your dashboard so you can reply quickly.

Automated sending is included in the Starter (£29 per location per month, 100 SMS and unlimited email) and Pro (£59, 300 SMS) plans. You can try it free for 15 days with no card.

Choosing the trigger

The trigger is the moment a request is sent. The best trigger is a real completion event, not a date on the calendar:

  • Trades: when the invoice is sent or the job is marked complete.
  • Clinics and dentists: after the appointment has been checked out – never before treatment.
  • Garages: when the car is collected, not when the work is booked in.
  • Estate agents: after completion or the start of a tenancy, when the stress has passed.
  • Restaurants and gyms: a QR code on the table or at reception often works better than a text, because you may not hold a phone number.

Timing that tends to work

There is no magic hour, but a few principles help. Send while the experience is fresh – usually the same day or the next morning. Avoid late evenings and early mornings for texts. For longer projects, such as a kitchen fit or a roof, wait until snagging is finished. Keep reminders to one, two or three days later. If a customer complains, deal with the complaint – but do not remove them from the request just because they were unhappy. Everyone should get the same invitation.

Writing the message

Short and personal works best. Use the customer’s first name, your business name and one sentence of thanks, then the link. Do not mention stars, ratings or “5-star reviews”, and never offer a discount or prize draw in exchange for a review. Our free SMS generator writes a compliant message and counts the characters for you, and our review request templates cover email.

Hi Sarah, thanks for choosing Hart Electrical today. If you have a minute, we’d really value an honest Google review: [link]. Reply STOP to opt out.

UK GDPR and PECR in one paragraph

A review request is usually a service message, but if it also promotes your business it may count as direct marketing under PECR. Tell customers when you collect their number that you may ask for feedback, include a simple opt-out, honour it, and keep records. Our UK GDPR and PECR guide explains the details. This is general information, not legal advice.

What automation will not do

  • It will not guarantee a number of reviews or a higher ranking. Customers choose whether to review, and Google decides what is published.
  • It will not fix a poor service. It will make your real reputation visible faster – good or bad.
  • It will not replace replying. Answer reviews personally; RepBeacon Pro can draft replies for you to edit.

Manual, semi-automatic or fully automatic?

ApproachEffortBest for
Manual: free link sent by handHigh, easy to forgetFewer than 10 customers a week
QR code at the counter or on invoicesLowWalk-in businesses without phone numbers

Start with the free tools – review link and QR code – then switch on automation when asking by hand becomes the bottleneck.

Frequently asked questions

Do I need to connect my job or booking software?

No. You can add customers by hand after each job. Check during your free trial whether a connection to your own system is available and how it behaves before relying on it.

How many texts will I use?

Roughly one per customer plus one reminder for those who have not reviewed. Starter includes 100 SMS and unlimited email per location each month; Pro includes 300 SMS.

Can unhappy customers still leave a public review?

Yes. RepBeacon never gates reviews. Customers can send private feedback if they choose, but the public option stays open for everyone.
