4-star review response examples
Thank the customer, recognise what worked and address the detail that could be better. Use these examples as starting points for your own reply.
These are fictional review scenarios and sample replies, not customer testimonials. Replace bracketed details, check the facts and only promise an action you can deliver.
How to respond to a 4-star review
A four-star rating can come with praise, a specific concern or no explanation at all. Read the comment before deciding what to say. Thank the reviewer, acknowledge one relevant detail and, where appropriate, explain a practical next step. You do not need to ask why they withheld the fifth star.
- Use a natural greeting and a brief thank-you.
- Reflect the feedback without copying the whole review.
- Address a stated concern rather than guessing at one.
- Offer private contact if resolving the issue requires personal information.
- Check the reply before publishing. Do not offer a reward or ask for a higher rating.
1. Four stars with no written comment
Sample reply:
Thank you for taking the time to rate your experience with [Business]. We appreciate your feedback. If there is anything you would like us to know, you can contact our team at [support contact].
Keep this short. Without a comment, you cannot know whether the customer had a problem, and a public demand for an explanation may feel uncomfortable.
2. Positive feedback with a small suggestion
Scenario: The customer liked the service but found the instructions unclear.
Thank you, [Name]. We’re pleased the service was helpful. Your point about the instructions is useful feedback, and we’ll review how we explain [specific step]. Thank you for letting us know.
Use the commitment to review the instructions only if someone will actually do it. Do not announce that a problem has been fixed before checking.
3. Restaurant review mentioning a wait
Scenario: The food was enjoyable but took longer than expected.
Thank you for your feedback, [Name]. We’re glad you enjoyed the food, and we’re sorry the wait affected your visit. We’ll discuss your comments with the team. If you would like us to look into your visit, please contact [support contact].
Do not post booking details or make up a reason for the delay. For more difficult feedback, see our restaurant review response templates.
4. Trades review mentioning communication
Scenario: The work was completed well, but an arrival update was missing.
Thank you, [Name]. We’re pleased you were happy with the work. We’re sorry you did not receive a clear arrival update. We’ll review how we keep customers informed before a visit.
Keep addresses, access arrangements and job details out of the public reply. Check the review workflow for tradespeople for follow-up guidance.
5. Feedback about value for money
Thank you for sharing your feedback, [Name]. We appreciate hearing that [positive detail from the review] worked well. We also understand your comments about the price. If you would like to discuss what was included, please contact [support contact] and we’ll be happy to explain.
Acknowledge the concern without arguing that the customer is wrong. Do not offer a discount in exchange for changing the review.
6. Dental or clinical feedback
Thank you for sharing your feedback. Our team welcomes comments about the service. If you would like to raise anything privately, please contact [practice contact] so we can listen and respond appropriately.
A public reply should not confirm treatment, diagnoses or confidential appointment details. Do not assume that a reviewer has consented to disclosure simply because they posted first.
Should you ask for the missing star?
No. Respond to the experience the customer chose to describe. Avoid language such as “What would it take to make this five stars?” and do not link a refund or resolution to editing a rating. Keep the customer’s opinion separate from your service recovery.
